What we collect, why, and what we never do with it.
Earned Today is made by Clientric in Kelowna, British Columbia. This policy covers earnedtoday.com and the Earned Today service. It is written to be read, not skimmed past. The short version: we collect what we need to get invoices paid and recorded, we never sell it, and we never touch the money.

Who we are
Earned Today is a product of Clientric, a software company based in Kelowna, British Columbia, Canada. Clientric is the organisation responsible for your personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA). Three kinds of people
We handle information about three groups, and the rules are different for each.
- Contractors are the businesses that sign up for Earned Today. They are our customers.
- Homeowners are the contractor's customers. They receive an invoice and a payment page. They never have an account with us and never deal with us directly.
- Visitors are people reading this website, including anyone who fills in the early access form.
Contractors: what we collect
- Account details. Your name, business name, mobile number, email address, and business logo. Sign-in is through Google or Microsoft; we receive your name and email from them and store no password.
- QuickBooks Online data. When you connect QuickBooks, we read your invoices: invoice number, date, line items, amounts, balance, and the customer's name, email, phone, and billing address. We also store the connection tokens QuickBooks issues so we can keep reading without asking you to sign in again. We never read anything beyond invoices, customers, and the payments we write.
- Deposit notifications. You set up an email rule that forwards Interac e-Transfer deposit notifications to a private address we give you. From each one we keep the amount, the sender's name, the Interac reference number, the date, and the email headers we use to confirm it came from your mailbox. We keep the original message so a payment can be traced later if something is disputed.
- Team members. If you invite people into your organisation, we collect their name, mobile number, and email so we can route texts about the invoices assigned to them.
- Texts and emails. A log of every message we send on your behalf and every reply you send us, with the number it went to and the time.
- Payment details you give us. The email address homeowners should send e-Transfers to. This is displayed to your customers. We do not collect your bank account number.
- Billing. If we charge you for the service, payment is handled by a payment provider and we keep the record of what plan you are on and what you paid. We do not store card numbers.
Homeowners: what we collect
If a contractor sends you an invoice through Earned Today, we hold the information the contractor already has about you in QuickBooks: your name, email, phone number, billing address, and the invoice itself. On the payment page we also collect what you enter: the bank you use, the daily e-Transfer limit you tell us, whether you plan to pay by e-Transfer, cheque, or bank draft, and each time you tap "I've sent this". When your e-Transfer lands, the contractor's bank notification tells us the amount, your name as your bank sends it, and the Interac reference number.
We use this only to build your payment schedule, remind you about it in the contractor's name, and confirm to the contractor that you paid. We do not use it for anything else and we do not contact you about anything except that invoice. Your payment page is a private link. It contains no amount and no name in the address, and it cannot be found by guessing.
You never create an account, never give us a password, and never give us bank credentials. The money goes from your bank to the contractor's bank exactly as it would without us.
Visitors: what we collect
- Early access form. Your name, business name, mobile number, email, whether you use QuickBooks Online, roughly how many invoices you send a month, whether you agreed to receive texts, and which ad brought you here. This goes into our CRM so Kasey can reply to you.
- Analytics. We use Plausible, a privacy-focused analytics service that sets no cookies, stores no personal information, and does not track you across other sites. It counts page views and tells us which ad angle a visitor saw. We may also use Cloudflare's web analytics, which works the same way.
- Server logs. Our hosting providers keep standard logs of requests, including IP address, browser, and time, for security and to keep the site running. These are kept briefly and not combined with anything else.
This website uses your browser's session storage to remember which headline you saw so the form can record it; that value lives in your browser and is gone when you close it.
Advertising
We run ads on Facebook and Instagram to reach contractors, and this website carries the Meta Pixel so we can tell which ads lead to early access requests. The pixel sets a cookie and tells Meta that your browser visited this site and whether you submitted the form. It does not send Meta your name, business, phone number, or email. Meta may use this to show you our ads later. You can opt out of ads personalisation in your Facebook or Instagram settings, block the pixel with a browser tracking blocker, or clear the cookie; the site works the same either way. Meta's own use of the data is covered by Meta's privacy policy.
Why we collect it
We use personal information for one purpose: to get the contractor's invoice sent, followed up, paid, and recorded in QuickBooks. That breaks down into:
- Sending the invoice and the payment page to the homeowner by email and text.
- Splitting a large invoice into e-Transfer sized payments and telling the homeowner when the next one can go.
- Sending reminders on the schedule the contractor has set, in the contractor's business name.
- Confirming each payment against the Interac notification, and asking the contractor by text when something does not match.
- Writing the confirmed payment into QuickBooks against the right invoice.
- Texting the contractor about new invoices, payments received, and anything that needs a human.
- Keeping an audit trail so we can explain exactly what happened if a payment is questioned.
- Replying to people who ask for early access, running the website, and keeping the service secure.
We do not use your information to build profiles, to advertise to you, or to train anything. We do not sell it, rent it, or trade it. Nobody gets a list.
Who we share it with
We share personal information only with the companies we need to run the service, and only what each one needs:
- Intuit (QuickBooks Online): we read invoices from and write payments to the contractor's own QuickBooks company. Intuit's handling of that data is governed by the contractor's agreement with Intuit.
- Twilio: sends and receives our text messages. Twilio sees the phone number and the message.
- Email delivery and inbound email providers: send the invoice and reminder emails, and receive the forwarded deposit notifications.
- Google and Microsoft: sign contractors in. We receive name and email; we send nothing back.
- Hosting and infrastructure: the servers and database the service runs on, and Cloudflare, which serves this website and protects it.
- Zoho CRM: holds early access requests and customer records.
- Plausible: aggregate, anonymous website statistics.
- Meta (Facebook and Instagram): the advertising pixel described under Advertising above.
Each of these is a service provider acting on our instructions. We do not authorise any of them to use your information for their own purposes. Some of them store data outside Canada, mainly in the United States, and while it is there it is subject to that country's laws. We will disclose personal information to police or a court if the law requires it, and we will tell you if we are allowed to.
Text messages
Contractors receive texts about their own invoices because they signed up for a service that works by text. Homeowners receive texts about an invoice on behalf of the contractor who did the work for them; those messages come from the contractor's business name, relate to an existing transaction, and are sent under the contractor's relationship with their customer. Anyone can stop texts from us by replying STOP to any message. Reply HELP for help, or email kasey@earnedtoday.com. Message frequency varies and message and data rates may apply. Mobile numbers and text message consent are never shared with third parties for their marketing.
How long we keep it
- Invoice, payment, and audit records are kept for as long as the contractor has an account, and for seven years after the payment, because that is how long Canadian tax law expects business records to exist and the contractor may need us to explain a payment to their accountant or the CRA.
- Forwarded deposit emails are kept for the same period, since they are the evidence a payment was real.
- Homeowner payment pages stop working once the invoice is paid or the contractor closes it. The record of what happened stays with the invoice.
- Text and email logs are kept for as long as the invoice record they belong to.
- Early access requests are kept until you become a customer, or for two years if you do not, after which they are deleted.
- Server logs are kept by our providers for a short period, typically thirty days or less.
When a contractor closes their account, we disconnect QuickBooks immediately, stop all texts and emails, and delete their account details. Financial records are kept for the retention period above and then deleted.
How we protect it
Everything travels over encrypted connections and sits in an encrypted database. QuickBooks tokens are stored separately from the rest of the data. Every deposit notification is checked to confirm it was forwarded from the contractor's own mailbox before it counts for anything. Every write we make to QuickBooks is recorded in an audit log that cannot be edited or deleted, so there is always a record of what we did and why. Access to the systems is limited to the people who run the service. If we ever discover a breach that creates a real risk of harm to you, we will notify you and the Privacy Commissioner as the law requires.
Your rights
You can ask us what personal information we hold about you, ask us to correct it, and ask us to delete it. Email kasey@earnedtoday.com and we will respond within thirty days. There is no charge.
A few limits, so you know in advance. If you are a homeowner, most of what we hold came from your contractor's QuickBooks; we will correct our copy, but the contractor's own records are theirs. If you ask us to delete financial records that a contractor is required by law to keep, we will remove what we can and keep the rest only as long as the law requires, and tell you which is which. Contractors can disconnect QuickBooks or close their account at any time from their settings.
If you are not satisfied with how we have handled your information, you can complain to the Office of the Information and Privacy Commissioner for British Columbia or to the Office of the Privacy Commissioner of Canada.
Children
Earned Today is a business tool. We do not knowingly collect information from anyone under 18, and the service is not directed at them.
Changes
If we change this policy in a way that matters, we will update the date at the top and tell contractors by email or text before the change takes effect. We will not use your information for a new purpose without asking you first.
